Higher education institutions produce an enormous variety of PDF documents – everything from lecture materials and research papers to administrative forms and student resources. But how can universities ensure these documents are fully accessible to students, faculty, and the public?

Slovak Technical University (STU) answered this question by implementing a centralized, automated PDF accessibility solution built with PDFix technology. This real-world case study shows how PDFix enables universities to meet accessibility requirements efficiently, while also promoting digital inclusion.

PDF Accessibility Laws Every University Must Follow

In higher education, PDF accessibility is more than a best practice – it’s a legal requirement. Universities must comply with regulations like the EU Web Accessibility Directive, European Accessibility Act; Section 508 in the U.S, as well as adhere to international standards like PDF/UA – ISO 14289 and WCAG, all of which mandate that digital documents be fully accessible to people with disabilities. Non-compliance can lead to serious consequences, including legal action and the exclusion of students and staff who rely on assistive technologies.

The Challenge: University-Wide PDF Accessibility and Compliance

Universities generate thousands of PDFs annually – from course materials and research papers to administrative forms and internal reports. Ensuring these documents are accessible to all students and staff is both a legal requirement and an ethical responsibility. However, manual remediation is resource-intensive, time-consuming, and difficult to implement consistently across departments.

Recognizing this challenge, Slovak Technical University (STU) needed a comprehensive solution that could automate accessibility remediation, validate PDF/UA compliance, and provide a professional user-friendly workspace that could empower staff and faculty – regardless of technical background – to create accessible documents independently.

The Solution: PDFix-Powered Centralized Remediation for Universities

To meet these needs, PDFix developed a centralized web-based remediation platform, integrating automation and human oversight into one seamless workflow.

How it Works:

1. Upload and Validate

Users upload a PDF through a secure web portal. The document is immediately validated against PDF/UA standards using VeraPDF industry supported validator.

2. Automated Remediation (Auto-Tag)

If the document is not compliant, the system analyzes the document layout and uses a template to intelligently auto-tag the content using the PDFix SDK. These templates are tailored for specific university document types (e.g., syllabi, student forms).

3. Manual Remediation with PDFix Desktop

If auto-tagging is insufficient (e.g., for scanned PDFs or complex layouts), the document is routed to a remediation workspace using PDFix Desktop Pro for manual tagging. However, our goal was to develop a PDF accessibility solution that minimizes reliance on manual work as much as possible.

4. Final PDF/UA Validation

After manually checking the document in PDFix Desktop, the user uploads the accessible PDF back to the system for final validation and PDF/UA output.
